Job Description:

The Program Operations Specialist organizes logistics for the Museum’s Adult and Family Experiences team, which creates engagement for audiences with colleagues and community partners for gallery-based programs, on- and offsite events, and virtual products. This position will focus primarily on operations for adult, family, and sensory-friendly events, Free Days, and gallery operations.

The Adult and Family Experiences team is part of the Museum’s Experiences & Partnerships (E&P) Division, which creates and delivers Museum experiences – including exhibits, digital media products, events, and programs – that connect guests to science, nature, and the Museum in ways that are meaningful for them.

Work Schedule: Onsite, Sunday – Thursday, occasional work-from-home hours negotiable.

Supervises: No direct reports.

 

Essential Duties:

Program Operations and Logistics: Prepares for the delivery, implementation, and/or hosting of programs and events by ensuring completion of necessary documents and facilitating communication between key personnel and partners, by scheduling presenters, performers, vendors, service providers, and staff; execution of contracts and program agreements; booking space(s), venue(s) and equipment, education collections, catering, and technology; requesting production of marketing collateral, social media promotional posts, etc. Works collaboratively with teammates across the Museum to ensure continual improvement of guest and member experiences, internal and external communications, the efficiency of workflow, and programmatic effectiveness.

Audience Engagement: Hosts programs and events, including those scheduled after hours, weekends, and overnight, as well as on or offsite. Collaborates with the Adult and Family Experiences Team to create inclusive and meaningful experiences for guests within targeted audience segments.

Content creation: Contributes to the development of new Museum experiences and updates existing experiences in conjunction with specific project teams. Participation on project teams may include ideation/research; prototyping; creative input; activity/experience development (i.e. special events, programs, exhibits, guides); evaluation; and/or remediation/refinement.

Training and Mentorship: In collaboration with Adult and Family Experience Team members and Experience & Partnerships Division Educator/Performers, supports training and onboarding for new staff. Collaborates in the development of training materials or documents standard operating procedures.

Minimum qualifications/Requirements:

  • High school diploma or equivalent required; Bachelor’s degree in related field preferred.
  • 1 year of experience in program or event coordination is required.
  • Occasional evenings and weekends are required.
  • Intermediate proficiency in Microsoft Office suite and web-enabled applications required.
