Description
The Baltimore Museum of Art (BMA) seeks to fill the full-time position of Manager of Exhibitions. The position will report to the Associate Director of Exhibitions.
The Manager of Exhibitions serves as a project manager for temporary special exhibitions, collection rotations, permanent collection re-installations, and traveling exhibitions while overseeing and implementing all aspects of the planning process.
RESPONSIBILITIES
Responsibilities include but are not limited to:
Exhibitions Project Management
• Prepares and implements exhibition timelines, guiding the process simultaneously for several exhibitions at various stages of development
• Works with exhibition curator, design and installation teams in the completion of all phases of exhibition planning and execution
• Schedules and leads planning meetings, creates agendas, and follows-up on action items related to exhibition planning
• Drafts, negotiates, and finalizes exhibition-related agreements with third parties in consultation with the Associate Director of Exhibitions (ADE)
• Working with curators, solicits and schedules venues for BMA organized traveling exhibitions
• Disseminates exhibition information to museum departments and reviews printed materials for all departments for consistency and quality
• Ensures that shared documents for forthcoming exhibitions remain updated and correct
• Provides support to ADE to field inquiries and requests from staff and external partners
• In consultation with ADE, ensures that exhibition schedule remains correct
• Ensures cost effective management and control of projects, always striving for best practice
Financial Management of Exhibitions + Permanent Collection Presentations
• In collaboration with ADE:
o Develops exhibition budgets in conversation with department leads for future fiscal years
o Reviews, approves, tracks exhibition expense requests from department leads and reconciles monthly actuals
o Prepares quarterly reports of exhibition expenses by department and reviews status with department leads
o Updates exhibition budgets on a quarterly basis to reflect shifts in project scope and cost
Traveling Exhibitions Venue Management
• Acts as primary point of contact for BMA in correspondence with tour venue representatives for preparation and administration of exhibition activities
• Working with exhibition curator, addresses questions and concerns from tour venues
• Drafts touring exhibition contracts for review and negotiation with tour venue representatives
• Tracks tour venue costs and administers invoices on predetermined basis for tour expense reconciliations
Special Project Oversight
• Supports ADE in actualizing special projects as assigned, responsibilities include but are not limited to:
o Acting as point of contact for internal and external partners on special projects
o Preparing proposals, supporting materials, additional collateral as requested
o Maintaining oversight of objectives realized, past due elements, and next steps
QUALIFICATIONS
• Master’s Degree in Museum Studies, Arts or Non-profit Administration (or similar) or professional experience equivalent
• Experience working with 20th and 21st century art highly desirable
• Project Management Profession (PMP) certification highly valued
• 4 years prior museum exhibitions experience
• Excellent written and verbal communication skills
• Excellent organizational skills, attention to detail, and ability to manage multiple projects simultaneously
• Excellent computer skills with strong command of Microsoft programs. Knowledge of The Museum System (TMS), Adobe Acrobat, and cloud-based project management software (such as Wrike) a plus
• Proven diplomatic problem-solving capabilities
• Collaborative nature, flexibility, and helpfulness. Self-direction and motivation, forethought, a proactive, problem-solving approach
• Strong intellectual curiosity and the intent to advance in the profession
• Ability to handle confidential information with care and discretion
