GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Exhibition Project Manager, Gallery Installations is responsible for the logistical planning, project development, installation and implementation of Gallery Installation Projects – defined as permanent gallery installations that are designed in-house and do not require significant construction activity. The individual oversees the gallery installation budget, develops and prioritizes project timelines in coordination with project managers for exhibitions and capital projects, monitors project design and development, and works with key stakeholders to ensure successful implementations that come in on time and within budget. The Project Manager, Gallery Installations, together with the Associate Project Manager, Gallery Installations, also oversee and administers the Project Initiation Request (PIRs) system, assesses priority and allocation of resources for requests, and manages gallery installation and collections related PIRs. The Project Manager, Gallery Installations works with the Deputy Director on the overall coordination of permanent gallery activity under the purview of the Exhibitions Office.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Works closely with key stakeholders – including, but not limited to, Buildings, Capital and Infrastructure Planning, Curators, Conservators, Construction, Design, Exhibitions, and Registrars, to prioritize projects, develop timelines, project plans and budgets for gallery
  • installation projects.
  • Supervises the Associate Project Manager, Gallery Installations.
  • Assembles, manages, and reports on the overall project budgets for gallery installations.
  • Oversees project deliverable deadlines, working with staff to ensure the project is on track.
  • Assigns and monitors tasks, enforces deadlines, and manages gallery installation progress, anticipates and troubleshoots issues, facilitates team collaboration and conflict resolution.
  • Schedules and leads project development, planning, and installation meetings for assigned projects; distributes information and communicates progress and next steps clearly and effectively to all stakeholder departments.
  • Monitors the work of outside consultants and vendors as necessary; facilitates internal contract review for such.
  • Coordinates the scheduling of shared resources with other project managers, including those in Exhibitions and Construction.
  • Evaluates, prioritizes, and tracks gallery installation and collections-related PIRs.
  • With the Associate Project Manager, Gallery Installations, oversees PIR meetings and administers the PIR system.
  • Reviews and provides input on Capital Construction project schedules, provides input on Capital Project art installation schedules, and offers an operational assessment of casework design and display plans.
  • Identifies and makes recommendations for process improvements and collaborates with Associate Project Manager, Exhibitions, on implementation of new systems approved by Deputy Director and Senior Manager for Exhibitions.
  • Other duties as assigned.

REQUIREMENTS & QUALIFICATIONS:

Experience and Skills:

  • Minimum 5 years of experience coordinating gallery rotations, exhibitions, museum installations, and/or project management strongly preferred.
  • Experience reading construction drawings and plans.
  • Strong diplomatic, team leadership, and communication skills.
  • Ability to coordinate and motivate colleagues from across the institution.
  • Aptitude for problem solving, prioritizing needs, and resolving conflict.
  • Excellent organizational skills with superior attention to detail.
  • Adherence to deadlines and strong follow-through over life of the project.
  • Comfortable being flexible with shifting demands and priorities.
  • Ability to work simultaneously on multiple projects in a highly demanding and fast-paced work environment.
  • Basic skills in budgeting, financial accounting, and financial analysis.
  • Outstanding verbal, written, and interpersonal communications skills required.
  • Excellent computer skills, including proficiency with Microsoft Suite, including: Word, Outlook, Excel, and PowerPoint.

Knowledge and Education:

  • BA, preferably in art history, museum studies, or related field.
  • Basic knowledge of art conservation, registration, and art handling.
  • Proficiency with Jira and TMS strongly preferred.

Compensation Range:

  • Pay Range: $90,000 – $105,000
