GENERAL STATEMENT OF RESPONSIBILITES & DUTIES:

Reporting to the Senior Development Officer for Events, the Development Assistant for Events provides administrative support to the Development Events team, which oversees approximately 50–60 in-person and virtual events annually.

PRIMARY RESPONSIBILIES & DUTIES:

  • Produce guest lists for approximately 60+ events overseen by the Development events team, including (but not limited to) benefits, receptions, dinners, workshops, and tours
  • Provide administrative support for Development events through invitation list management and mailings, monitoring and tracking donor/guest correspondence, scheduling meetings, and managing the event phone lines
  • Assist with benefit ticket sales, gift acknowledgements, and record-keeping
  • Work with the Senior Development Officer to manage the programs and events for The Met Family Circle, a special donor group for families with young children.
  • Work with Development Systems team to oversee integration of external event invitation and database system (Launchmetrics) with Tessitura database
  • Import, update, and extract data for Development event mail/email outreach through segmentation, list building, and reporting
  • Follow best practices for the management, use, and governance of the enterprise system, ensuring quality assurance and data integrity
  • Manage internal calendars on multiple platforms (i.e., Outlook, Airtable, Artifax, etc.)
  • Plan and execute smaller-scale events and program as needed
  • Provide general assistance with event logistics before, during, and after events (includes some nights and weekends)
  • Other duties as assigned

REQUIREMENTS & QUALIFICATIONS:

Fully vaccinated with an FDA or WHO authorized vaccine (or approved for an exemption as a reasonable accommodation due to a disability, sincerely held religious belief, or pregnancy, or because you are a victim of domestic violence, stalking, or sex offenses).

Experience and Skills:

  • Thorough knowledge of, and experience, with Tessitura (or comparable donor database), including list management, constituent updating, and reporting
  • Candidate should be a self-starter and feel comfortable working independently, with the ability to multitask several projects at once
  • Outstanding ability to work well under pressure on a variety of projects; candidate should be comfortable working in a very fast-paced, deadline-oriented environment
  • Due to significant top-level donor contact, excellent interpersonal skills are essential (professional, discrete, and diplomatic)
  • Previous events experience preferred
  • Meticulous attention to detail required

Knowledge and Education:

  • Bachelor’s degree required
  • Database experience required
  • Computer literacy—Microsoft Office suite (including Teams, Forms, etc.); Google Workspace; virtual meeting platforms (including Zoom); previous experience with Photoshop preferred
