GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
The Administrative Coordinator reports directly to the Administrator. The role is essential to the successful operation of the department. The Administrative Coordinator supports the Administrator’s work with the Finance, Retail, and Buildings departments to provide accurate and timely financial reporting, to make timely payment of approximately 1,000 invoices per year, to process and track a vast number of freelance and supplier contracts, to maintain the physical office workspace, and to oversee numerous other processes that allow the department to function in a professional and effective manner. The Administrative Coordinator will also provide administrative support to the Publisher, editorial support to the Associate Publisher for Editorial, and production support to the Associate Publishers for Production.
PRIMARY RESPONSIBILITIES & DUTIES:
- Assist the Administrator in preparation of quarterly financial report showing unit sales, revenues, and expenses of Met publications
- Process invoices
- To the degree current technology enables, support Administrator’s role as Procurement Ambassador for the department
- Support Administrator’s communication with vendors and freelancers to gather all documentation necessary to process their invoices.
- Support accurate record-keeping.
- Support generation of Purchase Orders for expenditures over $5,000.
- Assist with freelance and contributor contracts
- Send out all contracts, tax forms, and banking forms with accompanying instructions using Adobe Sign.
- Maintain a log of contracts sent and received.
- Correspond with contractors, sending reminders and answering questions.
- Maintain contracts, tax forms, and bank details on file.
- Assist with budgets
- Assist the Administrator and Publisher and Editor-in-Chief with preparing the annual departmental budget
- Assist the Administrator in providing up-to-date expense information to the Associate Publisher for Production and the Associate Publisher for Editorial for their budget reforecasts
- Assist with departmental revenue
- Assist the administrator in preparation of invoices for permissions and foreign book deals
- Maintain a log of invoices sent and payments received
- Maintain a schedule of when invoices should be sent
- Support Administrator’s role as liaison for all maintenance matters, such as cleaning, light bulb replacement, temperature control, etc.
OTHER RESPONSIBILITIES AND DUTIES:
- As often as time permits, edits and proofreads exhibition and rotation labels, and publication texts and apparatus
- As often as time permits, works with production managers on book design and production matters
- Assists with hiring, managing, and supervising interns
- Schedules appointments as needed at the request of the Publisher and Associate Publishers
- Advance and complimentary copy distributions
- Mail and package pickups and deliveries
- Other duties as assigned
REQUIREMENTS & QUALIFICATIONS:

Experience and Skills:
- At least 2 year prior Administrative/ Coordinator experience required
- Knowledge of budget development, budget reporting, and profit and loss reports preferred.
- Excellent organizational skills and attention to details
- Excellent writing and communication skills
- Advanced skills in Excel
- Intermediate skills in Adobe Pro and Adobe Sign
Knowledge and Education:
- B.A. degree required, preferably with accounting, finance, and humanities emphases
- Familiarity with Workday strongly preferred
