GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Assistant for Administration is charged with performing the day-to-day administrative functions for the Head of Membership and involves duties such as managing the calendar, all administrative support, creating presentations, office management duties for the department, and liaison to other Museum departments for the Head of Membership.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Manage the calendar of the Head of Membership and Deputy Chief Development Officer for Patrons with appointments/meetings and preventing scheduling conflicts.
  • Prepare PowerPoints, presentation and graphics for formal communications
  • Schedule meetings, reserve rooms using Artifax and organizing additional requirements such as media equipment and catering.
  • Creating supply orders, repair work orders and other projects as assigned.
  • Writing minutes for designated meetings.
  • Support member services with maintaining Patrons Lounge for upper level members
  • Support duties for the Deputy Chief development Officer for Patrons : includes administrative duties, follow up mail and phone, interface with Patron prospects, follow up on Patrons customer service and event related issues, as needed, Support analytical duties and relevant tessitura details needed for Patron financial and strategic updates, presentations, shares responsibility with adding in CRM notes into Tessitura For Patron progress, Assists the Deputy Chief Officer on ad hoc assignments of interests to gain greater understanding of Patron strategy and Development best practices
  • Making travel arrangements, such as booking flights, cars and making hotel reservations.
  • Help with weekly inventory and ordering of office supplies for the department in the main building (4th Floor and Ground Floor offices) including updating the inventory tracking systems.
  • Daily distribution of departmental mail, which includes bi-weekly distribution of pay checks to staff.
  • Answering phone calls as needed
  • Picking up deliveries from Receiving and delivering to proper destination within the department (4th Floor and Ground Floor offices).
  • Ensuring staff are keeping the kitchen area clean.
  • Provide back-up support for other members of the Administrative and Management teams as needed…
  • Assist with administrative projects that support the departmental strategic goals.
  • Develop a deep understanding of the department’s near-term and long-term goals in order to best support the Department Head.
  • Assist in organizing and monitoring the department’s budget issues and workload in working with the team to prepare for the budget and reforecasting review.
  • Be an active participant in projects and initiatives that help achieve departmental goals
  • Other duties as assigned

REQUIREMENTS & QUALIFICATIONS:

Experience and Skills:

  • 3-5 years of related administrative experience required.
  • Excellent organizational, multi-tasking, and problem-solving skills required.
  • Strong verbal and written communication skills in a team setting.
  • Attention to detail and the ability to prioritize in a fast-paced environment.
  • Candidate must have strong interpersonal skills and possesses the ability to be discreet and diplomatic.
  • Strong decision-making skills.
  • Experience with calendar management preferred.
  • Experience with scheduling and coordinating event room booking and catering preferred
  • Experience with invoice processing preferred

Knowledge and Education:

  • BA or BS degree required.
  • Microsoft Office suite (Outlook, Word, Excel, Share Point and Power Point).
