Job Summary

This position, which reports to the Assistant Director for Group Sales and Docent Program, will be responsible for supporting the efforts of the Group Sales department. A successful candidate will demonstrate a strong work ethic, a keen attention to detail, ability to interface effectively with the public, groups and volunteers on a day-to-day basis, exceptional problem-solving & customer service skills, and capacity to multitask and balance multiple priorities and adapt to changes.

Essential Job Duties

Administrative Tasks:

  • Confirm a high volume of group bookings in a timely manner via phone, email and mail. Provide clear comprehensive information to new and existing group leaders. Upsell group visits with add-ons and premium packages when possible;
  • Produce set-up memos for group sales events;
  • Coordinate onsite logistics of group visits with various departments;
  • Assist in the scheduling of docent-led private tours, virtual presentations and off-site lectures. Send daily email reminders to volunteers;
  • Maintain and add resources and content to the volunteer website as directed;
  • Accurately enter group sales bookings into New-York Historical’s admissions software, send out confirmation letters and pre-visit materials to group leaders, process deposits and final payments, follow up with groups on late deposits, follow up with groups after their visits;
  • Assist in answering docent and explainer inquires relating to scheduling and educational content.

Outreach Engagement And Marketing

  • Assist in the execution of the group sales strategic marketing plan;
  • Research and identify prospective group tour organizations and conduct outreach to prospective group tour leaders and tourism professionals;
  • Develop innovative and successful marketing materials for Group Sales programming including flyers and e-blasts;
  • Organize and maintain an ever-growing group sales contact list by audience type and interest. Appropriately and successfully segment the master list for the promotion of each new tour and program for monthly e-blasts and outreach phone call initiatives;
  • Contribute ideas for new group sales marketing strategies.

Programming And Evaluation

  • Produce, implement and update evaluations for Group Sales programming to ensure the highest level of programming possible, as well as customer satisfaction;
  • Assist in the training, and evaluation of the institution’s Docent and Explainer volunteers. Provide constructive onsite feedback to volunteers regarding docent-led private & public tours;
  • Research and produce scholarly content for docent-led off-site lectures, virtual presentations and specialty tours. Assist in the production of PowerPoint presentations for off-site lectures and virtual presentations;
  • Contribute ideas for new group sales programming.

Other Responsibilities

  • Assist in the floor management of daily group tours, greeting and checking-in several groups on a daily basis;
  • Assist in the distribution, collection, and maintenance of tour guide audio system;
  • Occasionally lead guided tours and virtual presentations as needed;
  • Other duties as assigned.

Requirements

  • Bachelor’s Degree in history, art history, museum education, or education;
  • Minimum of 2 years working with group leaders in the tourism industry, ideally in a museum setting;
  • Ability to interface effectively with the public, groups and volunteers on a day-to-day basis and demonstrate exceptional problem-solving and customer service skills;
  • Must be comfortable working with and speaking in front of large groups;
  • Excellent research skills;
  • Highly organized with great attention to detail;
  • Skillful ability to multitask and balance multiple priorities and adapt to changes;
  • Exceptional interpersonal, communication, and time management skills;
  • Knowledge and experience using InDesign, MailChimp and Blackbaud Altru a plus;
  • Excellent computer skills including Microsoft Office and Google Docs;
  • Must be available to work occasional nights and weekends.

This position will require the employee to lift (up to 25 lbs.), bend, stoop, walk, speak and stand. Sedentary computer work is also required.

Compensation & Benefits

Salary: $50-55k/annually
