Job Title: Public Programs Coordinator

Job Status: Temp, 32 hours/week


SUMMARY OF POSITION
Working independently, under the guidance of the Manager, Public Programs, the Public Programs Coordinator will take an active role in supporting the day-to-day directives of their supervisors. The Public Programs Coordinator is approximately a four month temporary assignment. As a member of the Education and Public Engagement Department, the Public Programs Coordinator is responsible for providing assistance in the preparation, facilitation, and follow-up of a dynamic roster of public programs held onsite at the museum and online through museum digital channels.  Additional responsibilities include supporting adult learning programs such as online courses and “Learning to Look, Looking to Lead,” an enrichment professional development program.

SKILL AND EXPERIENCE REQUIREMENTS

  • Minimum of 1-2 years of experience in customer relations, event planning, program or project management.
  • Excellent organizational and time management skills.
  • Excellent verbal and written communications skills, with strong attention to detail.
  • Flexibility and the ability to adapt to changing priorities.
  • Excellent attention to detail with ability to handle multiple projects in a fast-paced environment a must.
  • Ability to be proactive, use independent judgment and initiative.
  • Computer skills with knowledge of Microsoft Office Suite and digital asset management systems. Experience with Artifax calendar management software a plus.

KEY RESPONSIBILITIES
Duties may include, but are not limited to, the following:

  • Be present at all public programs and support audience and speaker management as needed, including complimentary ticket pick-up, distributing printed programs, virtual audience chat management, circulate zoom links to speakers, prepare reserved seat signs and water for speakers
  • Attend planning meetings and ensure relevant internal and external forms and paperwork are completed and submitted in advance of each program, including briefing forms for onsite programs distributed through Artifax, speaker per diems, etc
  • Create and submit Ticketure requests to Visitor Experience for program ticketing links, and receive, track, and manage comp guests from internal departments.
  • Arrange international, domestic and local travel as well as hotel bookings for onsite program participants, when necessary.
  • Assist Program staff in any relevant speaker needs or special requests such as green room preparations and image or digital asset copyright research
  • Book photographer for onsite programs, coordinate seasonal contracts, and maintain and upload image files in digital asset management system for future use. Facilitate post-program press image requests.
  • Draft onsite program signage and circulate for review. Work with Security and Visitor Experience on the placement of signs for each onsite program.
  • Draft walk-in slides and live stream graphics and circulate for review
  • Regularly update website as needed (ex. sold out language, standby policy, speaker bios, etc.)
  • Monitor the Public Programs email account and reply to questions/requests/solicitations
  • Order books and other materials for the department, as necessary.
  • Create program reminder emails in Exact Target. Draft emails and manage editorial review process. Collaborate with Marketing on scheduling and deployment.
  • Support Manager, Public Programs and Adult Learning on the administration of Online Courses and “Learning to Look, Looking to Lead” program initiative, including facilitating online courses.

WORK DEMANDS and ENVIRONMENT:

  • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
  • This position requires comfort with a fast-paced, multi-tasking tempo, and a regard for a detail-oriented work environment while remaining collaborative and flexible.
  • Occasionally work may be conducted outdoors, exposure to varied weather conditions.
  • Evening and weekend work will be required a few times a month.
  • Ability to lift at least 5-10 lbs.

EDUCATION:

  • High School Diploma or equivalent required.
  • Bachelor’s Degree preferred.

WORK SCHEDULE: 32 Hours per Week, Schedule TBD

POSITION TYPE:  Temporary, Part-time, Non-Exempt, This position will become a position covered by a Collective Bargaining Agreement with Local 2110 UAW.
