Description

This is an ideal entry-level position for an energetic and ambitious person with an interest in museum administration who wants to play an important role in the Brooklyn Museum’s exhibition planning, including exhibition design, publications, and editorial services. Reporting to the Director of Exhibition Planning and supporting the Director of Exhibition Design and the Director of Publications, Interpretation, and Editorial Services, the Assistant will be responsible for administrative duties related to those areas.

Responsibilities:

  • Coordinate information on exhibitions and communicate this to other departments of the Museum
  • Assist with organizing documents, distributing checklists, maintaining databases of images, and assisting with materials for potential tour venues
  • Coordinate review of external exhibition proposals
  • Distribute exhibition catalogues and submit books for awards
  • Maintain book and exhibition didactics records and archives
  • Prepare and circulate agendas for and take detailed notes at meetings
  • Manage department budgets, including processing purchase orders and invoices for department and project-related expenses and department credit card statements
  • Manage department directors’ calendars and schedule meetings
  • Assist with correspondence
  • Research and attend project meetings as needed
  • Handle general office management (filing, copies, supplies, etc.)
  • Submit work orders to Operations Department staff for exhibition needs
  • Other duties as needed

 

Requirements

Qualifications:

  • Bachelor’s degree in art, art history, or museum administration
  • Excellent verbal, written, and interpersonal communication skills as well as established competence with Word, Excel, and Outlook
  • Ability to manage multiple tasks with a high degree of organizational ability

Additional qualifications (desired but not mandatory):

  • Comfort and familiarity with digital tools, such as TMS, Trello, Google Workspace, Adobe Acrobat, Mailchimp, and general CMS tools
  • Familiarity with scanning and manipulation of digital images
  • Experience in maintaining financial, catalogue, and photo archives and/or similar arts-management records
