GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

This role is a key position in the Live Arts production team, reporting to the Production Manager. The Artist Management Associate will provide hands on support for artists engaged by the Live Arts department from pre-production, production, through to post-production. The Artist Management Associate will foster a backstage environment that enable artists to be their most authentic selves and deliver the highest quality performance.

The role will work 7-21 hours per week on a schedule determined in advance by the Production Manager. There will be opportunity for overtime on production weeks.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Schedule and facilitate walkthroughs and site visits with artists
  • Liaise with artists and box office on comp tickets
  • Communicate with artists on hospitality needs and expectations
  • Procure and provide hospitality for artists when onsite
  • Manage hospitality budgets and reconcile hospitality expenses after each production
  • Maintain hospitality inventory and refill as needed
  • Create itineraries and coordinate artist research visits
  • Book travel, ground transportation, and hotels for artists as necessary
  • Communicate artists needs to various colleagues including production management, Box Office, VX and
  • Provide hands on assistance and oversee artists when onsite at the Museum
  • Escort talent throughout the building
  • Escort all freelance crews and contractors when onsite in the building
  • Provide production team coverage during rehearsals and performances as assigned
  • Research projects as assigned
  • Assist General Manager and Production Manager with special projects

REQUIREMENTS & QUALIFICATIONS:

Experience and Skills:

  • Minimum 3 years of experience in public-facing environment
  • Passion for detail and perfection
  • Ability to work independently, as well as collaboratively
  • Past experience, knowledge or interest in performing or fine arts preferred
  • Must be self-motivated, patient, persistent and detail oriented
  • Must be diplomatic, collaborative and a problem-solver
  • Ability to handle confidential and sensitive information with discretion
  • Ability to take a positive and proactive approach to a fast-paced work environment
  • Ability to be a team player, assist in cross-functional collaboration, and build collaborative relationships
  • Proficiency in Outlook, Microsoft Word, PowerPoint, and Excel
  • Proficiency in Google Docs, Sheets, and Slides a plus

Knowledge and Education:

  • Bachelor’s degree or equivalent work experience required
  • Experience in performing arts, galleries or museums preferred.
