Job Description and Position Summary

The Mexic-Arte Museum seeks an energetic qualified Museum Registrar Associate. The Registrar Associate will be responsible for developing and managing the records for the collection. This position reports to the Executive Director and works in collaboration with the Curator.

Job Summary

The position oversees procedures for the permanent collection including the archive, as well as loans to the Museum and loans out of the Museum. The position is charged with the care, preservation of the Museum’s collections and with ensuring that the collections are available for current and future visitors. The position works in close collaboration with the Curator and Preparator in organizing the work schedule for team. The position serves as the principle contact for internal and external colleagues on loan procedures, insurance and government entities, contracts and lender negotiations.

Responsibilities

Collection Documentation

● Oversee the management, preservation and storage of the collection, as well as accessioning of acquisitions, including gift documents. Accessioning process includes recording object information, photographing objects, proper housing for objects and conducting inventories.

Develop and maintain database catalogue records and create new records using Past Perfect software;

● Manage Past Perfect software, including data clean-up, intern or staff training, and the creation of user guides and reports and works with staff to ensure data standardization.

● Maintains complete visual and written documentation of all collection objects in both hard-copy and on the Museum’s database

● Coordinate and manage documentation for deeds of gifts, bequests, and donations, and loans

● Prepare documentation and provenance for new accessions and research documentation for deaccessioning

● Oversee the move and transport of artifacts in and out of storage to ensure the sage handling of all materials.

● Maintain all paper files: Artist info, Donors, Outgoing/Incoming Loan Agreements, and associated Grant documents

● Manage and facilitate recommendations from the Museum Assessment Program, in alignment with A.A.M.

● Review and maintain all information on collections page of Museum’s website, PastPerfectOnline, and CultureConnect.

Collection Care and Management

● Assist Museum leadership to review and create a long-term Collections Plan and Collection Management Policy

● Train staff on Collections Care expectations around artwork and objects

● Respond to inquiries from the general public, scholars and institutions regarding specific objects of the collection.

Exhibitions

● Assist in documentation of artwork and cultural materials for temporary exhibitions

● Work with Curator to manage loans of incoming/outgoing works

● Create, manage all online exhibitions utilizing CultureConnect

● Work with Curator to plan, develop and manage loans for exhibitions including contracts, agreements, insurance, condition reporting, storage as needed.

● Collaborate with Curator and Preparator in production of exhibitions.

● In close coordination with Curator manage loan agreements with lenders and participating institutions.

Other

· Work on other Museum events and projects as needed.

· Maintain professional relationships within the field.

 

Required Qualifications

Bachelor’s degree in art history, information systems, museum studies/collection management degree or related field.

Preferred Qualifications

● Bachelor’s degree in museum studies,collection management, or related field

● Experience in art museum registration and collections management with a thorough knowledge of best practices in preservation, insurance, object handling, and museum legal and ethical issues

● Exceptional attention to detail and organization

● Ability to manage multiple complex projects in a fast-paced work environment

● Extensive knowledge of and experience with collection database software, preferably PastPerfect

● Experience with basic photography and Adobe Photoshop

● Strong written and oral communication skills

● Strong interpersonal skills and flexibility

Salary: $45000 plus partial health insurance. Parking provided.
