GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Administrator is responsible for financial coordination, administrative oversight, and management of administrative functions for the department. This includes: preparing the department’s approximate $29 million annual operating budget, managing purchasing activities, staff onboarding ,managing the creation of annual donor lists to be published on the website, overseeing timekeeping procedures, serving as an office-wide resource to the department and a liaison to other Museum offices (Finance, IS&T [CLG rep], Printing Services, Procurement, and Design).

PRIMARY RESPONSIBILITIES & DUTIES:

Budget

  • Prepares the department’s annual operating budget and tracks the department’s expenses and operating income throughout the year.
  • Cost Center Manager-responsible for reviewing and approving all expenses charged to Development cost center and tracking administrative expenses. Distributes monthly operating performance reports to stakeholders in the department; resolves any discrepancies with overtime allocations charged to Development’s cost center and programs by other departments (Security, Custodial Services, etc.).
  • Procurement Ambassador-department liaison for the Procurement Office. Ensures compliance with all policies and procedures related to purchasing goods and services. Submits requisitions, supplier invoice requests, and other forms for payment on behalf of the department.
  • Provides monthly Annual Program and Benefit income reports to the Senior Vice President for Institutional Advancement and the Chief Development Officer; coordinates quarterly meetings with each program area to review program performance against budget.
  • Manages the preparation of the Institutional Advancement Report—an annual summary of the Development, Membership and Special Event Offices’ fiscal year achievements.
  • Prepares responses to annual government surveys.

Administration

  • Produce annual donor lists for publication on The Met’s website (formerly published in the Museum’s Annual Report).
  • Personnel
  • Timekeeping Manager for the Development Office- review and approve weekly timecards and leave hours in Workday, allocate overtime to correct cost center.
  • Submits requests to fill vacancies and temporary staff to Human Resources
  • Staff and Intern Onboarding
  • In collaboration with the Executive Assistant manage internal staff events-holiday parties, fiscal year-end gatherings, and other events as assigned
  • Department representative to the Computer Liaison Group (CLG).
  • Monitor and respond to email inquiries to the department’s web email address.
  • Ensures main phone line is covered and provides backup assistance when Development Assistants are out of the office or otherwise unavailable.
  • In collaboration with the Executive Assistant, order general office supplies for the department and the 5th Floor Pantry
  • In collaboration with the Executive Assistant, maintain office equipment (computers, copiers and printers). Arrange maintenance and replacement when needed.
  • Oversee general upkeep of shared spaces throughout the office and ensures file room and other office procedures are followed. Submit requests for repairs and cleaning via JIRA project management system.
  • Coordinate yearly office-wide clean-up and maintain basement storage units (2).
  • Other duties assigned.

REQUIREMENTS & QUALIFICATIONS:

Fully vaccinated with an FDA or WHO authorized vaccine (or approved for an exemption as a reasonable accommodation due to a disability, sincerely held religious belief, or pregnancy, or because you are a victim of domestic violence, stalking, or sex offenses).

Experience and Skills:

  • Experience with Workday and Tessitura or other major financial management and development database systems preferred.
  • Experience managing budgets strongly preferred
  • Excellent writing, editing, and communication skills.
  • Ability to work under pressure and meet deadlines in a fast-paced environment.
  • Ability to work well with others, as well as independently.
  • Attention to detail and strong organizational skills.
  • Interest in the arts and a commitment to the Museum’s mission.

Knowledge and Education:

  • BA required:
  • Computer literacy (Microsoft Office) required. Knowledge of databases preferred.
