Job Status: Full-time

Salary: $65,000 – $85,000


Description

The Morgan Library & Museum invites applications for the position of Executive Assistant. The position will provide administrative support to the Director and manages a range of communications with members of the Morgan’s Board of Trustees. The individual in this role also serves as a contact to the Morgan staff and general public, and is the liaison between the Director (and other executives in the organization) and national and international art world professionals.

 

Responsibilities: 
  • Handles all administrative duties for the Director including managing correspondence; screening phone calls; providing information to callers; greeting visitors; maintaining a busy calendar and scheduling appointments and meetings; arranging conference calls; and maintaining contact databases  
  • Communicates with Trustees’ offices concerning scheduling of Board and Committee meetings
  • Attends Board and Committee meetings, prepares agendas and minutes and handles a variety of administrative matters related to the Board and Board Committees
  • Organizes and produces components of the annual Director’s Report to the Trustees
  • Manages communications related to all aspects of the Director’s responsibilities, which include curatorial, fundraising, publications, and long-range planning projects
  • Coordinates flow of information on Director’s activities to senior staff as needed
  • Handles all travel arrangements and prepare materials for trips
  • Manages the Director’s business expenses
  • Organizes and maintain paper and electronic files
  • Operates current and new office technologies; develops methods for improving efficiency of the Director’s office
  • Manages special projects as designated by the Director
  • Additional duties as needed

Qualifications: 

  • Five or more years related experience in an executive office environment, preferably in a non-profit setting.
  • Bachelor’s degree including study in administration, art history, museum studies or a related field desirable
  • Excellent time management and multi-tasking ability
  • Highly collaborative and-well organized, excellent written and oral communication skills
  • Requires high level of confidentiality, initiative, diplomacy, independent judgment, and flexibility
  • Ability to manage simultaneous deadlines
  • Ability to respond effectively to the demands and priorities of the Director
  • High degree of proficiency with Microsoft Office software (Word, Excel and PowerPoint) and familiarity with Adobe software

Compensation: 

$65,000–85,000, commensurate with experience; excellent benefits.
