GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
Reporting to the Chief Development Officer for Corporate Engagement, the Assistant Development Officer oversees the day-to-day administration of the Museum’s corporate fundraising initiatives for the exhibitions and programs, and manages a selected portfolio of corporate prospects and donors, and funding projects. This position is a key member of a 6-member team charged with raising approximately $18 million annually and providing key support to other fundraising teams in the Development department, particularly in the area of exhibition sponsorship. Responsibilities include high-level stewardship of exhibition and program sponsors, including the management of legal agreements, preparing fundraising decks, proposals, donor correspondence and reports, and maintaining financial review and progress on a $20 million annual exhibition budget.
PRIMARY RESPONSIBILITIES & DUTIES:
• Maintains a select portfolio of corporate prospects and donors, and funding projects
• Works with curatorial contacts to create written and visual materials to accompany exhibition and project proposals
• Prepares sponsorship agreements and acts as liaison with Counsel’s Office
• Prepares monthly, quarterly and annual financial reconciliations to ensure the accurate expenditure of exhibition funds, and acts as liaison with the Finance department
• In consultation with the Chief Development Officer, directs the allocation of exhibition endowment funds, working with donors’ specifications; drafts internal exhibition endowment memos and reviews endowment reports for donors
• Prepares and tracks the progress of fundraising proposals, including emails, letters and decks, for exhibitions and other Museum programs
• Works with the Development Assistant to review and approve all digital and printed exhibition credit lines on collateral issued throughout the Museum
• Prepares closing reports for corporate sponsors
• Coordinates with other departments such as the curatorial offices, communications, design, merchandise, membership, special events, and visitor services on donor stewardship
• Performs other related duties as assigned
REQUIREMENTS & QUALIFICATIONS:
Experience and Skills:
Successful candidates will be extremely detail-oriented, able to multi-task, highly motivated, and work well with others. They will be able to function in a fast-paced environment, must be able to work well under pressure and meet deadlines. They must also have proven written and oral communication and strong organizational skills and be comfortable interacting with both external and internal constituents. They must have the ability to exercise excellent judgment, decorum, confidentiality, and diplomacy in all interactions.
Knowledge and Education:
• B.A. required
• 6 years professional experience
• Excellent written and verbal communication skills
• Computer literacy and knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Previous development experience preferred, including familiarity with a donor management database such as Tessitura or Raiser’s Edge.
• Excellent administrative skills including general office procedures and business protocols
• Ability to work independently, handle a large volume of detailed work simultaneously, and use good judgment in prioritizing work.
• Foreign language(s) a plus.
