Registrar – Magazzino Italian Art Museum
Located in Cold Spring, New York, Magazzino Italian Art is a museum and research center dedicated to advancing scholarship and public appreciation of postwar and contemporary Italian art in the United States. The nonprofit museum serves as an advocate for Italian artists as it celebrates the range of their creative practices from Arte Povera to the present. Through its curatorial, scholarly, and public initiatives, Magazzino explores the impact and enduring resonances of Italian art on a global level.
Meaning “warehouse” in Italian, Magazzino was co-founded by Nancy Olnick and Giorgio Spanu. The 20,000 square-foot museum, designed by Spanish architect Miguel Quismondo, opened its doors in 2017, creating a new cultural hub and community resource within the Hudson Valley.
The Olnick Spanu Collection seeks an experienced and detail-oriented Registrar to oversee the care and management of a growing collection of Post-War and Contemporary art, and an active exhibition program!
The Registrar is responsible for all aspects of collection management, including documenting new acquisitions, organizing domestic and international fine art shipping, ensuring proper storage and insurance coverage, writing detailed condition reports, and coordinating collection care and conservation projects. The Registrar manages the installation of all onsite and offsite exhibitions by generating loan agreements, preparing checklists, creating the installation/de-installation schedule, and supervising the art handling staff.
We are looking for a self-starter, who is comfortable working both independently and also with teams. The ideal candidate is interested in growing with this dynamic organization as we expand in the near future!
**This position is full-time, on-site at their Cold Spring, NY location. Travel to local storage facilities, as well as travel for the installation of offsite exhibitions, is required.
Collection Management
- Catalogues objects in the database and ensures records are accurately documented, tracked, and up to date;
- Maintains object records and artist files, in digital and hard-copy formats;
- Establishes and maintains positive and collaborative relationships with artists, estates, and outside vendors;
- Tracks and records all object-related expenses including conservation, framing, crate fabrication, and photography;
- Ensures the safe packing, handling, and care of all objects in the collection;
- Organizes domestic and international shipping of new acquisitions and outgoing loans;
- Manages storage logistics across multiple facilities;
- Oversees insurance policies and appraisals.
Exhibition Management
- Generates exhibition loan agreements
- Prepares checklists and images for curatorial, press, and design teams
- Plans and executes all packing, shipping, and insurance for incoming loans
- Coordinates and supervises unpacking, installation/de-installation, condition reporting, and packing of objects on loan
- Manages exhibition insurance policy and certificates of insurance
Ideal Education, Experience, and Competencies:
- BA in Art History, Fine Art, Museum Studies, or related field
- Three or more years of registration experience in a museum, gallery, or private collection
- Proficiency with Microsoft Office, Adobe Creative Suite, and Filemaker Pro
- Must be familiar with international and domestic fine art shipping and crating companies, and international crating standards
- Knowledge of proper handling, packing, and storage of fine art, from traditional paintings and sculptures to contemporary multi-media and time-based media
- Strong sense of discretion and confidentiality
