GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The position is responsible for management of the Director’s Office, working with other members of the Executive Offices as a team to ensure an efficient, successful operation of the department. This position provides the first point of contact for the Director including managing his calendar, correspondence, travel arrangements and day-to-day operations. In addition, this position plays an important role assisting with the acquisition committee meetings, Board of Trustee presentations and similar presentations to other groups. This is a high-profile position central to the smooth running of the department and as such, all duties and responsibilities are to be carried out with the utmost efficiency and discretion.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Provides overall administrative support for the Director, including communication, correspondence, extensive scheduling, travel arrangements, expense reports, meeting preparation, and file management
  • Manages and coordinates six Acquisitions meetings per year. Tracks upcoming recommendations for purchase and updates the Director and Deputy Director; checks and approves art acquisition funding in Workday; liaise with Development and Finance to ensure proper use of funding for acquisitions; works with Deputy Director on acquisition approval and funding process
  • Develops presentations for Executive Committee and Board of Trustees meetings (10 per year) and other internal and external speaking engagements in collaboration with others
  • Drafts written correspondence for the Director as requested and frequently sends emails on the Director’s behalf
  • Collaborates with Deputy Chief Development Officer for the Director’s Office on managing the Director’s Fund donor group
  • Tracks, coordinates and initiatives the Director’s engagement with donors, prospects and Trustees; serves as a liaison with development. Requires frequent interaction with and care for donors and prospects along with contacts of the Director
  • Other duties as assigned

Requirements

Experience and Skills:

  • Minimum of three to five years of professional administrative experience required, preferably in a museum or cultural institution
  • Knowledge of finance, budgetary processes, and administrative processes required
  • Demonstrated exceptional ability as a competent, detail-oriented, proactive administrator with the ability to work well under deadlines and in complex environments, problem solve independently, and work within a team
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, including professional telephone manner
  • Excellent organizational skills, including the ability to manage time and multitask
  • Ability to create and maintain precise records
  • Thorough proficiency in Workday, Microsoft Word, Outlook, and Excel with willingness to learn new computer programs required

Knowledge and Education:

  • B.A. required
  • Familiarity with art history and standard museum procedures, policies, and practices preferred
  • Experience in Arts Administration preferred
  • Interest in general proceedings in the art world/museum scene preferred
