Executive Assistant at Art Omi

Art Omi seeks a dynamic arts administrator to fulfill the key role of Executive Assistant. This position serves a critical connective role between executive, programming, and administrative departments. The Executive Assistant’s primary function is to support Art Omi’s Executive Director with administrative and organizational duties. The Executive Assistant must be highly organized, and able to effectively prioritize overlapping responsibilities and agendas.

Major Areas of Responsibility

  • Executive support including: managing appointments, schedules, budget tracking, correspondences, travel arrangements, proofing written communications.
  • Support Executive Director to ensure appropriate and timely follow-up around major organizational activities and agendas, with special attention to Development.
  • Supporting administrative staff with a variety of tasks, including at organizational events when needed.
  • Maintain the annual calendar of Board of Trustee meetings and Board Committee meetings.
  • Support Executive Director in the scheduling, preparing for, and facilitation of Board of Trustee meetings and Board Committee meetings.

Qualifications

Qualified candidates will possess:

  • Excellent organizational abilities, including ability to prioritize deadlines and assignments effectively.
  • A proactive and flexible approach to work.
  • Strong writing, editing, and verbal communication skills.
  • A willingness to work with all Directors across the organization, and to lend a hand in all areas of the organization.
  • An eagerness to learn and contribute to positive organizational change.
  • Experience working in the arts and non-profit organizations is strongly preferred.
  • Strong interpersonal skills, and a professional, friendly demeanor with an ability to / interest in working with major donors and other supporters.
  • Strong tech knowledge; proficiency with CRM, Google Docs, Mac OS, and administrative softwares.

Candidates will demonstrate a commitment to Art Omi’s mission, working to advance its position within the field and an ability to advocate effectively for the organization and its goals in professional and social settings.

Physical Demands

This position requires long periods of computer use. It occasionally requires long periods of standing. The position may require infrequent lifting of boxes (20 lbs and under), office equipment, or furniture (e.g. chairs, small tables).

Work Environment

The work will take place in the Executive Director’s office, the Benenson Center, and remotely. Occasionally, on-site and off-site activity and meeting attendance is necessary. While performing the duties of this job, the employee will occasionally be in a public environment (the Benenson Center), but usually in a private environment. The noise level in the work environment is usually quiet, and occasionally moderate or noisy. The Benenson Center is an ADA accessible building, but the Executive Director’s Office is not.

Compensation

  • Salary Range $30,000 – $35,000
