Programs include high school and college internships that promote career development and diversity; Pre-K–12 educator programs that train teachers to integrate art into curricula across disciplines; performances, concerts, lectures and symposia that feature preeminent artists and scholarship; daily tours in multiple languages, and so much more.
GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
The Met seeks a dynamic individual to serve as Program Coordinator, Museum Teaching and Volunteer Administration within the Teaching and Learning division in the Education Department. The position provides administrative support for the Volunteer Organization, contract educators, and the Museum’s Public Guided Tour Program. Working under the supervision of the Educator, Museum Teaching and Volunteer Administration, s/he is a key liaison with the Volunteer Organization, Education, Visitor Experience, and other Museum departments, and provides support for teaching talent across programmatic areas. The Program Coordinator for Museum Teaching and Volunteer Administration works with the Chair of the Volunteer Organization and Manager of Volunteer Activities to maintain the Museum’s volunteer records and collaborates with other Museum departments to support the Museum’s work with volunteers. Under the supervision of the Educator, Museum Teaching and Volunteer Administration, and in coordination with other staff, the Program Coordinator maintains and regularly updates comprehensive rosters of the teaching staff of the Museum for both ongoing tours of the permanent collection as well as special exhibitions
PRIMARY RESPONSIBILITIES & DUTIES:
• Provides administrative support for the Museum’s Public Guided Tour Program, including scheduling, inputting tour information into key operational systems, reviewing and editing seasonal brochures and website listings, and reporting statistics
• Supports and coordinates trainings and orientations for volunteers and contract educators under the guidance of the Educator, Museum Teaching and Volunteer Administration, and in partnership with the Volunteer Organization and appropriate staff as needed
• Maintains the Museum’s volunteer personnel records, updates volunteer tour schedules, and works closely with departments across the Museum to maintain these records and schedules
• Tracks and retains contact information for all current and former volunteers and contract educators
• Manages Museum-wide communications with volunteers and contract educators; identifies and recommends strategies to build efficiencies, streamline processes and improve communications
• Collaborates with Visitor Experience to ensure that public tour schedules and updates are clearly communicated to Museum visitors
• Coordinates with Visitor Experience to provide current teaching rosters and availability for all teaching staff (volunteers, contract educators, and staff) so that the Museum can fulfill private guided tour requests
• Provides support by request to the Volunteer Organization in reviewing department volunteer application process and all received applications; provides support in the screening and selection of all department volunteers
• Issues and processes contracts for all volunteers and contract educators; administers volunteer and contract educator ID approvals
• Serves as liaison between rotating Volunteer Organization leadership and Museum staff and assists new Volunteer Organization leaders in learning Volunteer Office procedures
• Other duties as assigned
REQUIREMENTS & QUALIFICATIONS:
Experience and Skills:
• Minimum 3 years of experience working in arts or non-profit administration
• Excellent interpersonal skills and demonstrated capacity to effectively and professionally communicate with a wide range of constituencies, verbally and in writing
• Ability to handle interactions and manage relationships in a tactful and diplomatic manner
• Demonstrated excellence in customer service, with a flexible, pro-active stance, and ability to adjust to changing Volunteer Organization leadership and Museum requirements
• Strong project management and collaboration skills
• Excellent organizational skills and ability to manage multiple, logistically complex activities within a museum setting simultaneously and on deadline
• Excellent budget management and analytical skills
• Experience working with and maintaining databases
• Experience working with volunteers strongly preferred
Knowledge and Education:
• Bachelor’s degree, required; Master’s degree in Arts Administration, Nonprofit Administration, or Business, preferred
• Working knowledge of Tessitura, Artifax, Volgistics or other booking, ticketing and/or volunteer/personnel management software preferred
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and a variety of digital technologies, required.
