Exhibitions Coordinator, Princeton University Art Museum

Princeton University Art Museum is seeking an experienced Exhibitions Coordinator to work closely with Museum leadership and curators to plan and implement an active program of traveling exhibitions and long-term loans during the forthcoming period when a new Art Museum facility will be under construction.  The position will report to the Associate Director for Collections and Exhibitions and will assist in the planning and implementation of a variety of exhibition projects involving multiple curatorial departments, in order to advance awareness and visibility of the Museum’s collections between 2021 and 2024.

The purpose and structure of these exhibitions will vary, but will collectively represent the exceptional quality, depth, and breadth of the Museum’s resources, potentially including works on long-term loan to the Museum.  Some or all of these exhibitions, for which the Exhibitions Coordinator will be responsible, will travel nationally as well as internationally and be accompanied by exhibition catalogues of varying scope and complexity.

This is a fulltime, term position that is benefits-eligible that will begin immediately and is expected to extend into early 2024 with the possibility of extension.

Responsibilities:

 Exhibitions Development

  • Works with the Museum’s leadership and curators to shape the scope, purpose, and checklists of as many as four multi-year traveling exhibitions to take place between 2021 and 2024, and as many as a dozen large bodies of loans to other museums to take place during the same years;
  • Identifies prospective exhibition venues across the U.S. and internationally, and drafts touring exhibition proposals and outreach materials, sharing exhibition materials and awakening the interest of prospective venues; and
  • Assembles image sets, didactics, and other materials to share with the venues, working with curators and educators to determine didactic goals and strategies for each exhibition and ensure that the content is shaped and delivered on a timely basis.

Exhibitions Project Management

  • Negotiates and manages venue interests and needs;
  • Prepares exhibition contracts and works closely with Collections Services staff at the Museum to make travel, shipping, and insuring plans for each exhibition tour; and
  • Maintains exhibition schedules and ensures that other Museum staff are aware of any changes and the impacts of these changes on other Museum activities.

Financial Management and Administration

  • Develops exhibition budgets, adapting these proactively as tours take shape and specific venue locations and needs are determined;
  • Maintains and monitors financial records, including generating invoices, recording payments, tracking expenses, and updating exhibitions budgets;
  • Generally supports the exhibition process from inception through completion, managing related communications with both Museum staff and staff in tour venues; and
  • Adheres rigorously to Museum protocols and best practices in the field across all of these traveling exhibitions and outgoing loan packages.

Essential Qualifications

  • A Bachelor of Arts degree (M.A. in Art History, Museum Studies, or related field is strongly preferred)
  • Three to five years of project management experience in a museum or cultural or educational institution;
  • Three to five years of demonstrable experience with the planning and/or management of traveling art exhibitions, including budget planning and management experience and experience executing and managing contracts;
  • Superb project management skills, including the ability to set and manage priorities and to handle multiple projects simultaneously;
  • Demonstrated relationships with other museums and other cultural institutions, including institutions that travel art exhibitions and vendors that work in support of such projects;
  • Demonstrated ability to lead through influence and to be a productive member of teams who can work in a dynamic and collaborative environment;
  • Effective facilitation skills with excellent persuasion and negotiation abilities, as well as demonstrating initiative, creativity, and sound judgment;
  • Excellent written, verbal, and interpersonal communication skills;
  • Meticulous attention to detail, and the ability to maintain confidentiality;
  • An ability to work flexibly and the willingness to take on additional/varying responsibilities;
  • Proficiency with computer applications for word processing, presentations, and spreadsheets, including Word, Excel, PowerPoint, and familiarity with TMS (The Museum System database) and Adobe Creative Cloud (Photoshop, Illustrator, InDesign);
  • Proficiency with project management software and other tools; and
  • A commitment to diversity and to serving the needs of diverse communities.
