Reports in PeopleSync

Overview

This tip sheet provides guidance on generating and accessing reports in PeopleSync. Access to reports are based on your Organization Support Role.

how to access reports

  • From the PeopleSync homepage click on the menu icon in the top left corner and click on the PeopleSync Report Catalog application. For HR and Finance roles we have configured this application to display frequently used reports:
    • Most Popular Reports
    • Employee Staffing Reports
    • Compensation Reports
    • Position/ Job Based Reports
    • AMI/Bonus Reports
  • You can also search for the report by entering the name in the search bar.
    • Enter in the prefix report:
    • Example: report: AMI.
  • Refer to the tip sheet on Dashboards for reporting on aggregate and trended metrics.

RUN a report

  1. Select the report.
  2. Many reports allow you to select parameters to filter the data. Common field prompts include: Effective Date, Supervisory Organization (sup org), Job Family and Job Family Group.
    • Supervisory Organization: Type in the specific sup org by name or code. You can select more than one sup org if needed. You can also click on the menu icon to find a list. This will display the sup orgs that you have been assigned to you. The report may include an optional Include Subordinate Organizations check box. If selected, the report will include results for all organizations that roll up into the sup org selected for the report. 
    • Job Family Group and Job Family. To narrow the population complete the Job Family Group or Job Family fields.
      • Tip: run the NYU Job Profiles report to understand how these categories align with specific populations
      • Note: For some reports you will be able to save your filters. You will see a Filter Name field directly below the prompts. 
        • Once you have entered your prompts, type in a name for the filter and Save.
        • The next time you click on the report you will see these saved filters.
        • Click on Manager Filters to edit or delete.
  3. The selected report displays.
    • You can download the most recent report to excel by clicking the Excel button on the upper right. 
      • Tip: You will see two Excel icons:
        • Click the first one at the top to download a report that will include the prompt parameters. For example if you ran the report effective 9/1/2023 for sup org PS0001 for job family, Union, this will appear at the top of the excel sheet.
        • Use the second excel button for a report that will include the data only.
    • You can filter most reports by clicking on the Filter button on the upper right.

Favorite a report or add to shortcuts

Favorite. If there is a report that you run frequently and want to designate as a favorite, use the Actions ellipse button on the report and select Add under the Favorite menu.

  1. Click on the menu in the top left corner and click on My Dashboard application.
  2. Click on the gear icon on the top right.
  3. Use the ” +” sign to add in a new row.
  4. In the Worklet field, enter Favorites. Click Okay.
  5. Favorites now appear on the dashboard.

Shortcut. You can also add the report as a Shortcut. 

  1. Click on the menu in the top left corner. Click on Shortcuts.
  2. Click the Add Shortcuts button.
  3. Type in the name of the report and click on the “+” icon.

Schedule A report

  1. Enter the name of the report to run in the Search bar.
  2. Select the Schedule a Report task from the search results.
  3. In the Report field, use the prompt icon to select the report to be scheduled.
  4. In the Run Frequency field, select the frequency for running the report.
    • You will select the specific date/time for the report to run on the next screen.
    • Click OK.
  5. On the Schedule tab, input the details for when the report should be run, including the day of the week, start time, and date range in which PeopleSync will generate the report.
    • You may schedule reports to run at any frequency for up to 1 calendar year.
  6. On the Output tab, select the output type for the report, either Excel or PDF. You also specify how long the report should be stored in your W:Drive once it has been generated.
    • Click OK.
    • By selecting Do Not Output an Empty Report, PeopleSync will not generate a report if the results of the report are empty.
  7. Once a scheduled report has been generated, it is stored in your PeopleSync W: Drive. 
  8. To review or edit your list of scheduled reports, type in Scheduled Future Processes and select this report.
    • In the Process Type field select Report.
    • Find the report in the Scheduled Process column.
    • Hover mouse over the end of the report name to activate the related actions bar. Click on this bar.
    • Hover mouse over Scheduled Future Process for a list of actions including Edit and Delete.
